FAQ – Frequently Asked Questions

BtrustUP is a platform designed to help Transport & Logistics companies verify carriers and subcontractors and reduce the risk of transport fraud. It combines data from official public registers with BtrustUP’s proprietary database of reported incidents and presents the verification results in one clear, structured view, highlighting potential risk indicators.

The platform helps standardise due diligence processes, reduce the time spent manually checking multiple sources, and improve the documentation of completed verifications. It can be used directly by employees or integrated with a TMS via API, allowing parts of the verification process to be automated.

BtrustUP is therefore more than just a database — it is a risk management tool for working with subcontractors, developed around the real threats faced by transport, forwarding and logistics companies.
Every BtrustUP implementation includes online training for employees. During the sessions, we explain the platform’s functionality in detail and discuss the methods used by organised fraud groups. This means your team not only learns how to use the system, but also becomes better equipped to identify potential threats.

The number of training sessions is adjusted to the size of your organisation. For larger teams, we can organise several sessions to make sure everyone has the opportunity to participate.

All training sessions are scheduled at a convenient time for the client and are provided free of charge.
Yes. BtrustUP is a 100% Polish-owned company with Polish capital.

The platform is developed by a team with extensive practical experience in transport risk and law. One of the people behind BtrustUP is Grzegorz Stańczyk, who has 20 years of experience as an insurance loss adjuster and transport claims expert. He also cooperates with EU law enforcement authorities in combating transport-related crime, including identifying and disrupting temporary storage facilities used by organised criminal groups.

Another member of the Management Board is Kamil Krasuski, a lawyer specialising in transport, freight forwarding and insurance law.

This combination of practical industry experience and legal expertise has helped us create a solution that addresses the real challenges Transport & Logistics companies face every day.
Yes. BtrustUP provides an API that allows integration with TMS platforms and enables the automation of subcontractor verification processes.

Through the API, users can initiate full or partial verifications, monitor their status, retrieve detailed results, access verification history and generate PDF reports.

Please note that BtrustUP provides the API, while the way it is implemented and used depends on the capabilities of your TMS.

BtrustUP generates a detailed report containing the subcontractor verification result together with the exact date and time of the check.

The data used for verification is retrieved in real time via API directly from official public government registers. This means the report reflects the information available at the exact date and time the verification was performed.

The report can therefore form an important part of the documentation in the event of a claim or investigation. However, the way such documentation is assessed will always depend on the circumstances of the individual case and the organisation handling the claim or proceedings.

Insurance policy terms are particularly important, as they may impose specific verification requirements and define how those checks must be documented.

If in doubt, we recommend:
  • reviewing the verification obligations set out in your insurance policy,

  • confirming with your insurer in advance what form of verification documentation is required under your policy.

No. BtrustUP enables the verification of subcontractors from multiple countries, although the scope of available data depends on the country in which the company is registered.

The platform is continuously developed, and we are gradually expanding both the number of integrations and the countries we support.

If you would like to check what verification options are currently available for a specific country, contact us and we will be happy to provide more information.
Manual carrier verification requires employees to check multiple registers, interpret the data and make sure no important element of the process is overlooked.

BtrustUP brings these checks together in one place, organises the information and highlights potential risks through clear alerts.

This helps employees save time, follow a consistent verification standard and reduce the risk of missing important information.

In addition, BtrustUP uses its own proprietary incident database containing information on entities across Europe that may not be available in public registers.

Yes. We encourage users to report suspicious cases and suspected fraud attempts.

Every report is reviewed by our team, which analyses the available information and assesses whether an incident has occurred.

If we confirm an impersonation attempt, theft, fraud or another concerning event, the entity is added to the BtrustUP incident database. This allows us to warn other users and help reduce the risk of similar fraud attempts in the future.

Please send all reports to [email protected].
